Aestima Privacy Policy

What Meld Valuation LLC collects when you visit the site, subscribe, or use the client portal; what it is used for; who it is shared with; and how long it is kept.

This Privacy Policy explains how Meld Valuation LLC ("Meld," "we," "us"), which operates the Aestima platform, collects, uses, and protects information when you visit getaestima.com, subscribe to Aestima, or use the Aestima client portal (together, the "Services").

1. Information We Collect

Information you give us. When you subscribe, contact us, or use the Services, you may give us your name, email address, phone number, job title, company or fund name, and billing details.

Client materials. Clients upload or send documents and data so we can perform valuation services. These include credit agreements, warrant and equity documents, cap tables, financial statements, and portfolio data. These materials may contain information about the client's portfolio companies and their personnel.

Payment information. Payments are processed by Stripe. We do not receive or store full card numbers or bank account numbers. We receive limited details from Stripe, such as the payment status, the last four digits of a card, and billing contact information.

Usage and technical information. When you use the Services, we and our hosting providers automatically collect information such as IP address, browser type, device information, pages viewed, and the date and time of access. The client portal also records account activity, such as sign-ins, uploads, downloads, and approvals, for security and audit purposes.

Cookies. We use cookies that are necessary to keep you signed in and to secure the Services. We may also use basic analytics to understand how the website is used.

2. How We Use Information

We use information to:

  • Provide, operate, and improve the Services;
  • Perform valuation work and prepare deliverables for clients;
  • Create and manage accounts, process payments, and send invoices and receipts;
  • Communicate with you about the Services, including data requests, deliverables, and account notices;
  • Protect the security and integrity of the Services, including detecting and preventing unauthorized access;
  • Comply with legal, accounting, and professional obligations, and enforce our agreements.

We do not sell personal information. We do not use client materials for marketing.

3. How We Share Information

We share information only as follows:

  • Service providers. We use trusted providers to host, store, and process information on our behalf, including for payment processing, cloud hosting and storage, email delivery, document processing, and security. These providers may access information only to perform services for us and must protect it.
  • At a client's direction. We share deliverables and related information with a client's auditors, administrators, or other parties when the client asks us to.
  • Legal reasons. We may disclose information if required by law, regulation, subpoena, or court order, or to protect the rights, property, or safety of Meld, our clients, or others.
  • Business transfers. If Meld is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction, subject to this Policy.

4. Confidentiality of Client Materials

Client materials are also governed by the confidentiality terms of the client's agreement with Meld. Where that agreement gives greater protection than this Policy, the agreement controls.

5. Data Security

We use reasonable administrative, technical, and physical safeguards to protect information. These include encryption in transit and at rest, access controls that separate each client's data, and logging of account activity. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

6. Data Retention

We keep information for as long as needed to provide the Services, to meet our professional and record-keeping obligations, to resolve disputes, and to enforce our agreements. Valuation workpapers and deliverables may be retained for a period consistent with professional standards and applicable law. When information is no longer needed, we delete it or make it unidentifiable.

7. Your Choices and Rights

You may ask to access, correct, or delete your personal information by contacting us. You may unsubscribe from marketing emails at any time using the link in the email. We will still send service and account messages. Depending on where you live, you may have additional rights under applicable law. We will respond to requests as required by that law. We may need to keep some information to meet legal or contractual obligations.

8. Children

The Services are intended for businesses and are not directed to children under 16. We do not knowingly collect personal information from children.

9. Where Information Is Processed

Meld is based in the United States, and information is processed and stored in the United States. If you access the Services from outside the United States, your information will be transferred to and processed in the United States.

10. Changes to This Policy

We may update this Policy from time to time. We will post the updated version on this page with a new effective date. If changes are material, we will give notice through the Services or by email.
